Position Overview

As a People Operations Coordinator, you’ll play a foundational role in supporting the day-to-day operations of the People Operations team. You’ll be responsible for maintaining employee records, support onboarding/off-boarding processes, scheduling interviews, coordinating internal processes, assist in compliance procedures, and gain exposure to multi-state HR best practices. 

Additionally, this role will serve as a backup for some aspects of Payroll processing and support administrative functions within People Operations. The People Operations Coordinator reports to the Manager, People Operations, supports the entire People Operations team, and collaborates closely with Finance, IST, and other cross-functional teams.

This is an ideal role for someone early in their HR career looking to build toward a Generalist or Business Partner role in a dynamic, fast-paced, high-growth environment.

Key Responsibilities

Administrative Functions
  • Provide support in People Operations projects focused on improving processes, systems, or team member experience.
  • Maintain and audit employee records to ensure compliance, data integrity, accuracy, and confidentiality across the following systems: ADP Workforce Now, Leadr, JazzHR, PDP Works, and OneRail Service Desk.
  • Respond to team member inquiries and direct them to the appropriate People Operations team contact.
  • Prepare employment verification letters, support team/company audits, reporting, and policy documentation efforts.
  • Assist in People Operations related OneRail Service Desk tickets processes
  • Other HR-related tasks and responsibilities as assigned.
Compliance & Payroll Support
  • Assist with benefits administration and open enrollment logistics.
  • Serve as a backup to support Manager People Operations with benefits and payroll-related inquiries and coordinate with internal teams/vendors as needed.
  • Assist in compliance procedures with federal, state, and local employment regulations across 30+ states.
  • Assist with compliance-related documentation and reporting.
Recruitment Support
  • Assist with internal/external company job postings, interview scheduling, and candidate communication through Applicant Tracking System (ATS) workflows and documentation.
  • Assist in onboarding and off-boarding processes, including documentation, scheduling exit interviews, and internal communication notifications. 
Qualifications
  • Current employment with OneRail with a minimum of six months occupying current role.
  • 1–2 years of administrative, HR assistant, or process/project coordination experience preferred.
  • Bachelor's degree in Human Resources, Business Administration, or a related field is preferred, but not required.
  • Familiarity with ADP Workforce Now and Jazz HR, or other HRIS ATS platforms is a plus.
  • Exceptional attention to detail, time management, and organizational skills.
  • High emotional intelligence, professionalism, and ability to handle highly confidential internal company and team member information with integrity.
  • Comfortable using Microsoft Office Suite; and experience with HR reporting tools.
  • Familiarity with HR related processes, payroll, benefits administration, and compliance requirements.
  • Excellent problem-solving and communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Exemplary ability to exercise the highest level of discretion, confidentiality, and sound judgment while navigating complex and often sensitive organizational matters.
